A CSM opens the CRM to check a renewal date, the helpdesk to understand an unresolved issue, and a product analytics tool to review adoption. Each visit helps answer an account question. But does answering those questions require a full paid seat in every system? That is a useful question to ask before your next software renewal. The answer depends on the work the person needs to do, the access your contracts allow, and the customer context available in your post-sales workspace.
Start with access, not the number of applications
Sales, Support, and Product have good reasons to use different systems. A CRM supports the sales process and commercial records. A helpdesk supports ticket handling. Product analytics helps teams investigate product behaviour. Those systems can continue doing their jobs.
The question is whether every CSM and Account Manager needs a paid licence in all of them. Some people mainly look up context. Others update records, investigate details, or carry out specialist work. Treating both groups as if they need identical access can make the software bill larger than the work requires.
This is not an argument to remove useful access from the team. A saving that forces someone to ask a colleague for every ticket update is likely to create another cost. The aim is to give people the context and capabilities they need through the most practical route.
Separate seeing the information from working in the source tool
Take a customer whose adoption has slowed before renewal. The account owner may need to know the renewal date, recent customer conversations, relevant usage changes, and whether a support issue is blocking value. That is different from administering a sales pipeline, managing a support queue, or building a detailed product funnel.
Start by listing what each person actually does. For a CRM, distinguish reviewing account facts from changing contract records. For a helpdesk, distinguish understanding an issue from triaging or resolving it. For analytics, distinguish reviewing account adoption from designing event instrumentation or investigating individual user journeys.
A person who regularly performs the second kind of work may still need direct access. Someone who primarily needs a connected account picture may be a candidate for a different arrangement. Test the distinction with real workflows rather than job titles alone.
Where atEaseAI fits into the picture
atEaseAI is built for Customer Success, Account Management, and the people leading post-sales work. It brings relevant customer context from supported sources into a shared workspace, alongside Customer 360, account health, adoption, engagement, lifecycle work, and reporting.
Agent Caleb uses the customer context available in atEaseAI, together with the business context configured in Business Profile, to prepare personalised recommendations and work. An account owner can ask for an account review, a QBR outline, or a proposed action plan, then review the output and approve consequential actions through supported capabilities.
That can reduce the need to enter each source tool for routine post-sales work. Whether it also removes a paid seat depends on the connected information, the actions available, and the source provider’s access requirements. A connection is not a promise that every source feature or every record is available.
Sales can keep its CRM. Support can keep its helpdesk. Product can keep its analytics. The potential saving sits in the additional paid access allocated to post-sales, where that access is no longer required.
Build the cost comparison from removable seats
Use your invoices and contracts, not headline prices from a vendor website. Record the paid seats assigned to post-sales, what each seat costs at your actual billing rate, and when a reduction would change the invoice. Check whether a cheaper or free access tier already meets the need.
Then identify the seats you can genuinely retire after a workflow evaluation. A bundled licence, a minimum seat commitment, or a contract that runs for another year may mean there is no immediate saving. Reducing use of an application does not by itself reduce the subscription bill.
Use this formula: monthly net subscription saving = monthly cost of removable seats minus the incremental monthly cost of atEaseAI and any additional integration costs. If the result is negative, the business case needs to rest on other benefits or a different configuration.
At atEaseAI, pricing is based on customer accounts managed, with unlimited users and no separate AI usage limits or credits. Choose the plan that fits your account count. Do not assume that the number of people on the team determines the plan.
A worked example: six people managing 80 customer accounts
Consider a fictional team of six CSMs and Account Managers managing 80 customer accounts. Assume the team has six paid CRM seats, six paid helpdesk seats, and three paid analytics seats. The amounts in the table are invented for the calculation. They are not quotations or current prices from any named vendor.
For this example, assume all 15 overlapping seat allocations can be removed, the source systems remain in place for their owning departments, and the supported integrations continue working. Also assume no additional integration charge and monthly billing throughout. Each assumption must be checked before applying this calculation to your own company.
The removable seats cost $360 per month. Using atEaseAI Growth at $89 per month for up to 100 customer accounts leaves an illustrative net subscription saving of $271 per month, or $3,252 over 12 months if the account count, rates, and access needs remain unchanged. This is an annualised monthly-billing comparison, not a comparison with atEaseAI’s annual-billing price.
Now make the example less generous. If all CRM seats must remain, only $210 is removable. Net saving becomes $121 per month. If only the six helpdesk seats can be retired, $120 is removable and the net saving is $31 per month. If no paid seats can be removed, the additional platform does not create subscription savings. The method should make that result visible too.
Illustrative monthly subscription comparison
| Item | Assumption | Monthly amount |
|---|---|---|
| Removable CRM seats | 6 seats × $25 | $150 |
| Removable helpdesk seats | 6 seats × $20 | $120 |
| Removable product analytics seats | 3 seats × $30 | $90 |
| Total removable seat costs | Source systems remain for other departments | $360 |
| atEaseAI Growth | 80 accounts; monthly plan up to 100 accounts; unlimited users | $89 |
| Net subscription saving | No extra integration cost assumed; before taxes | $271 |
| Annualised net saving | 12 months at the same monthly rates | $3,252 |
Check the access you would lose before changing the contract
Run an ordinary customer workflow in atEaseAI while the source access is still available. Review a known account, prepare the next conversation, and coordinate follow-through. Compare what the owner can see and do with what they currently rely on. Include missing details, delays, and exceptions in the review.
Confirm that the integration can remain authorised under the arrangement you intend to keep. The provider may require a particular plan, an authorised service account, or specific user permissions. Do not assume that connecting one account permits unrestricted access for everyone else. Check the provider’s terms and your own permissions with the person responsible for the system.
Keep direct access for people who still need source-only capabilities. An AM responsible for a specialist commercial process or a CSM who also handles support may have different needs from the rest of the team. Reduce seats at the point your contract allows it, with a clear owner and a way to restore access if the evaluation missed something.
Keep cash savings separate from recovered time
A connected workspace can also reduce the time spent gathering context and coordinating work. That matters even where the company cannot remove a licence. But recovered working time and money removed from an invoice are different kinds of value.
Measure preparation effort before and during the evaluation using comparable tasks. Ask whether the output is accurate, complete enough, and useful. Faster preparation that creates more checking or rework is not an improvement.
You can estimate the value of recovered capacity using your own internal cost assumptions, but do not present it as cash saved unless spending actually falls. The team may use that capacity for better customer conversations, earlier risk reviews, or more consistent follow-through. Those are outcomes worth evaluating without assigning them an invented revenue figure.
Use the next renewal as a decision point
Start with one team and one recurring workflow. Agree what information must be available, what actions must remain possible, and which paid seats are candidates for removal. Compare the result with a simpler alternative, such as a lower-cost access tier in the existing tools.
The useful result is an access plan you can explain: which systems remain, who needs a direct seat, what atEaseAI supports, and when any saving reaches the invoice. You do not need to cancel every overlapping seat for the exercise to be worthwhile.
If your team is paying for broad access mainly to collect customer context, that is a sensible place to evaluate atEaseAI. Bring your account count, the workflows you want to improve, and the access costs you can verify. The business case should come from that evidence.
Put it into practice
- List the paid seats assigned to post-sales and their actual contracted cost.
- Identify the source-only actions each person still needs.
- Confirm free/view-only alternatives, integration permissions, and minimum commitments.
- Test supported context and actions before removing access.
- Subtract atEaseAI and any additional integration costs from removable spending.
- Record subscription savings and recovered time separately.
Common questions
Does this mean cancelling our CRM, helpdesk, or product analytics platform?
No. Those systems can remain in use by Sales, Support, and Product. The evaluation concerns additional paid access for post-sales team members who can do their required work through atEaseAI.
Will every company save on subscriptions?
No. Savings depend on removable paid seats, current contracts, supported integrations, and the atEaseAI plan required. Free access or bundled licences may mean there is little or no removable spend.
Does atEaseAI charge for each CSM or Account Manager?
No. Plans are based on the number of customer accounts managed and include unlimited users, with no separate AI usage limits or credits. Review current pricing before making your comparison.
